Facility Reservations for Outside Entities

Kalamazoo Regional Educational Service Agency (KRESA) has several spaces available to reserve for meetings and conferences for outside entities. Follow the instructions below to make a reservation.

Make a Reservation
- Check the floor plan sheet for capacity to decide which space best fits your needs.
- To determine room availability, click on the space within the floor plan to view the calendar.
- Review Rules and Guidelines below.
- Complete the KRESA Reservation Request Form
- Your reservation request will be reviewed and a Facilities Team Member will respond back to your request within 72 business hours.
- Check the floor plan sheet for capacity to decide which space best fits your needs.

After hours facility usage is permitted until 9:00PM with a minimum of 48-hour notice.

- Conference Room A: 25

Facilities and Grounds
- The public entrance to the building is accessible Monday-Friday from 7:00AM – 4:30PM. After hours facility usage is permitted until 9:00PM with a minimum of 48-hours notice.
- KRESA reserves the right to refuse rental service at any time.
- KRESA reserves the right to move a meeting to another room(s). Proper notification will be given.
- Setup and cleanup of the room(s) is the responsibility of the reserving organization.
- No alterations to facilities shall be made without prior written approval.
- All property is to be accounted for and left in good condition as received. Chairs, tables, podiums, etc., are to be put away in the correct manner and location.
- Applicant using facilities shall be responsible for payment of any AND all damages to building and equipment caused by self/patrons and shall be responsible for any security/custodial charges accumulated as a direct result of this.
- SMOKING, ALCOHOLIC BEVERAGES, LIT CANDLES, AND GAMBLING ARE NOT PERMITTED ON THE PREMISES AT ANY TIME. NO ONE IS ALLOWED TO BE UNDER THE INFLUENCE OF MARIJUANA, EVEN IF IT IS FOR MEDICAL PURPOSES.
- The District Administration reserves the right to cancel any agreement if, after investigation, it is determined that such use is not in the best interest of KRESA.
- Access to employee workstations will not be permitted.
- Sub-leasing: no lessee should re-assign their agreement to any other entity or group.
- Only Dry-erase markers are to be used on any of the facilities’ whiteboards.
- To post something on the wall, please check with the Service Center Staff.
Insurance Requirements
- A Certificate of Liability Insurance is due five (5) business days prior to use and must be approved by KRESA before the facility may be used.
- The Certificate of Liability Insurance must include a combined Single-Limit Bodily Injury and Property Damage Limit of not less than 1,000,000 dollars per occurrence.
- Kalamazoo RESA and the Board of Education should be named as “additionally insured.”
- The certificate covers all areas of KRESA property that are accessible to the renter and its patrons, including facilities, parking, walkways, and/or areas to which access cannot be limited.
Equipment
- The equipment available in the facilities is a projector, microphone, and laptop. If you wish to use your laptop, you must have the ability to connect via wireless Miracast, USB-C or HDMI cable.
- Use of photocopiers or other employee workstation equipment is prohibited.
- A 72-hour notice is needed for equipment requests, including computer technology. A technician may be on-site to assist with setup from 7:30AM – 3:30PM.
Fees
Fees may apply to individuals, including district employees, for-profit organizations, and other non-school-related groups.
All groups are responsible for reimbursing the district for any costs associated with overtime of personnel staffed to provide support for an event.

The above fees do not cover refreshments or catering. All food costs are at the expense of the renting organization.
Catering
- Groups that are offering meals to their attendees are responsible for organizing their catering needs.
- For catering deliveries from 7:00AM – 4:30PM, notify the front desk of the delivery times.
- Tables and trash cans will be available. Basic set-up and clean-up of the food is the responsibility of the renting organization.
